Privacy policy

Your trust matters as much as your event. Here is how Be With You Events Sàrl collects, uses and protects your personal data, and what your rights are.

1. Data controller

This policy describes how Be With You Events Sàrl (hereinafter “the Agency”, “we”), whose registered office is in 1217 Meyrin, canton of Geneva, Switzerland (UID no. CHE-291.011.889), processes the personal data of the visitors and clients of its website. 3. Data we collect

Contact data: the information you send us through the contact form or by e-mail (name, e-mail address and, where applicable, telephone, type of event, date, venue, message).
Exchanges with the assistant (chatbot): the content of the conversations held with our conversational assistant, when it is available (see art. 8).
Technical and browsing data: data generated automatically during your visit (IP address, device and browser type, pages viewed, date and time), in particular through the analytics tool (see art. 7).

4. Purposes and legal bases

We use your data in order to: (i) answer your requests and draw up quotes; (ii) manage the contractual relationship and the follow-up of your event; (iii) ensure the operation, the security and the improvement of the website and of the assistant; (iv) where applicable, send you information about our services if you have consented to this. Depending on the case, the processing is based on the performance of pre-contractual measures or of the contract, on our legitimate interest in promoting and securing our activity, on compliance with legal obligations, or on your consent (which you may withdraw at any time).

5. Recipients and processors

Your data are never sold. They are disclosed only to the service providers strictly necessary to provide the service, who act as processors on our instructions and under a confidentiality undertaking, in particular: the hosting provider of the website (Vercel Inc., United States) and the registrar of the domain name (Infomaniak Network SA, Switzerland), the service that delivers the e-mails from the contact form, the artificial intelligence provider behind the assistant, and the analytics tool, provided by the hosting provider. The complete and up-to-date list of providers can be obtained on request. We may also disclose data where the law requires it.

6. Transfers outside Switzerland and the EU

Some of our service providers may process data outside Switzerland or the European Economic Area. In such a case, we ensure that the transfer benefits from appropriate safeguards: a country offering recognised adequate protection, standard contractual clauses, or another mechanism provided for by the nFADP and the GDPR. 7. Cookies, local storage and analytics

The website sets no cookies: no advertising cookies, no analytics cookies, no preference cookies. The language is read from the page address, so no consent banner is required. Traffic is measured with a tool that uses neither cookies nor persistent identifiers, and that produces aggregate statistics (pages viewed, referrer, device type) which can neither identify you nor track you from one website to another. The assistant keeps your conversation in your browser's local storage, so that you find it again if you come back to the website: that data stays on your device and disappears when you clear your browsing data. Finally, videos load only when you start them, from a player in no-cookie mode: until you click, nothing is requested from a third-party service.

8. Conversational assistant (chatbot)

When it is available, our assistant based on artificial intelligence informs you about our services and guides you towards a quote request. Exchanges may be recorded and processed in order to follow up requests and improve the service. We ask you not to share sensitive data through the assistant. Its answers are provided for guidance only and have no contractual value (see art. 16 of the terms and conditions).

9. Retention period

We keep your data for as long as necessary for the purposes described above, then for the applicable statutory retention periods (in particular in accounting and limitation matters). Requests that have not led to a contractual relationship are kept for a limited period, then deleted or anonymised.

10. Data security

We take appropriate technical and organisational measures to protect your data against loss, unauthorised access, alteration or disclosure, in particular the encryption of communications and the restriction of access. As no system is infallible, we cannot, however, guarantee absolute security.

11. Your rights

In accordance with the nFADP and, where it applies, with the GDPR, you have a right of access, rectification, deletion and restriction, a right to object to the processing, as well as, where applicable, a right to the portability of your data and the right to withdraw your consent at any time. You can exercise these rights by writing to us at contact@bewithyouevents.ch. We may ask you to prove your identity before acting on your request.

12. Complaint to an authority

If you consider that the processing of your data does not comply with the law, you can lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC) in Switzerland or, in the European Union, with the competent supervisory authority of your country of residence.

13. Amendment of this policy

We may update this policy in order to reflect changes in our practices or in the regulations. The applicable version is the one published on the website, at https://www.bewithyouevents.ch/en/privacy-policy. For the identity of the publisher and the hosting of the website, see our legal notice.
